- Ask for a courtesy room block: rooms guests don’t book by the cutoff date (usually 30 days before) go back to the hotel at no cost. A contracted block gets a better rate, but you pay if fewer than about 80% of the rooms are booked.
- With 10+ rooms, ask for perks: a group rate 10-20% below the public rate, a free suite for the two of you, or welcome bags handed out at check-in.
- If guests pay, put the booking link or group code and the cutoff date on your wedding website and invitation - otherwise guests book elsewhere or miss the rate.
- For two or more nights, ask about late checkout on the last day - especially if there is a farewell brunch.
How we calculate
- A couple gets one room, a family (2 adults + 2 kids) a room with two queen beds at about 1.1 times the price, and a single guest a room of their own - US hotels charge per room, not per person - or half a room when sharing.
- Room rates depend on the hotel type and the area (major metros about +35%, small towns about -20%) and are multiplied by the number of nights. We add about 15% for hotel taxes and fees.
- Breakfast is counted only when it isn’t included: about $20 per adult, half for kids.

Questions and answers
Do we have to pay for our guests’ hotel rooms?
No. In the US guests usually pay for their own rooms - your job is to reserve a block at a good group rate and share the booking link. Some couples cover rooms for parents, grandparents, or the wedding party.
When should we book a room block?
About 8-12 months before the wedding, once the date and venue are set - hotels near popular venues sell out early for peak-season Saturdays.
